User setup and administration
Important: It is essential that Dayforce has your most up-to-date contact information on file. Ensure your contact list is current to allow for continued support from Dayforce and to maintain the confidentiality of your payroll. We cannot discuss your payroll with unauthorized contacts. Additionally, at least one user per company is required to receive email notifications of payroll-related issues.
The following user contact information is required:
- Last Name
- First Name
- Primary Phone Number
- Email Address
- Contact Type

- Assign contact types to users. Each contact type has full access to all payroll data and other information in the system. Access and edit rights are not differentiated by contact type

Field Information

- Request a new Powerpay User ID

- Payroll Number - (View-only) The number of the open payroll. Users are associated with specific payrolls

- Security Role - (View-only) This field is visible only if you have Security Roles enabled. Select a security role from the list

Any User can be assigned the following contact types:

Primary Contact – Dayforce's first point of contact for payroll matters and the recipient of Dayforce correspondence.

Payroll Backup – a backup contact for all payroll-related functions if the Primary Contact is not available.
Important: It is in your best interests to list a backup contact as Dayforce can only discuss payroll related matters with authorized contacts. A minimum of two contacts is recommended. To add a new contact without a user ID, contact your Customer Support Team.

Distribution Contact – recipient of the payroll package.
- ROE Issuer - responds to questions regarding the date printed on the ROE form. When a user is selected as an ROE Issuer Contact, the user’s First Name, Last Name and Primary Phone Number are passed to the Company Profile page and used to populate the Default Issuer Name and Default Issuer Phone Number fields (ROE boxes 21 and 22).
- ROE Contact - responds to external questions related to the reason of the ROE Issue. When a user is selected as an ROE Contact, the user’s First Name, Last Name and Primary Phone Number are passed to the Company Profile page and used to populate the Default Contact Name and Default Contact Phone Number fields (ROE box 16).
- Executive Summary Contact - addressee of the Executive Summary Report. When a user is selected as an Executive Summary Report Contact on the , the user’s First Name and Last Name are passed to the Company Profile page and used to populate the Executive Summary / T4 Summary Contact field.
- EFT/Stops/Rejects E-Mail Notification- receives an email when a stop payment is placed or a reject occurs.

Use this section to disable, re-enable or delete a user from the payroll.

Select Disabled to temporarily disable a user’s access to Powerpay while an employee is, for example, on holiday or on a temporary leave but expected to return to work. Disabled users are unable to log on to specific Powerpay payrolls from which they are disabled. The Disable User function is only available when more than one user is attached to a payroll.
- Select Enabled to grant access to an existing user whose access was disabled.

Select Delete this user from this payroll to permanently remove a Powerpay user from a payroll.
Use this feature to remove a user when, for example, the person is no longer an employee of your company or moves to a different role for which Powerpay access is not required.
Note: These features are payroll specific. If you want to permanently remove, disable or re-enable all access for a user, you must open each payroll to which the user has access and amend the user access.

You can control which users receive notifications and the type of notifications they receive in their Powerpay Inbox. For example, when an employee makes a change to their address information in Self Service and the address field is set to notify on the , you need to define which Powerpay users receive the notification.

If appropriate, select one or both of the check boxes to receive email notifications:

Choose the types of email notifications you receive.
You can set notifications to let you, know when your payroll processing is complete and your reports are available, receive a payroll submission confirmation and receive payroll submission reminders so you do not forget to submit your payroll. You can also configure Powerpay to send notifications when year-end adjustment processing is complete and the year-end reports are available on the Year-End Reports page and tax forms are complete and available on the Year-End Reports page.
Use the Submission date warning message starts to appear in days feature to set an alert if the submission due date is approaching. Acceptable values for this field vary by pay frequency.

Enter 1, to only display the message on the Submit for Processing by date.
Enter 2, to display the message one day prior to the Submit for Processing by date.
Enter 3, to display the message two days prior to the Submit for Processing by date, etc.
To only display the message after the Submit for Processing by date if the payroll has still not been submitted for processing, enter 0.

Select four or more unique Personal Verification Questions, each with its own answer. You will be required to answer one of these questions if you forget your password, security image or you need to enable or unlock a user. Use questions to which only you would know the answers. At the same time, make sure you do not use questions you won't remember the answers to in a few months from now.
Safeguarding your password is key to protecting your information. Always keep your Personal Verification Questions and answers strictly confidential.
